Manage My drafts
My drafts
Note: Drafts are specific to users and are not shared across the site.
- Roles: Users with the Administrator, Collection manager, or Collection builder role can manage drafts they have created or have been assigned. Refer to CONTENTdm (new version) roles.
Use the My drafts screen to add and manage items that are in draft status in your instance of CONTENTdm (new version).

1. Search and sort Published items
Use the Search draft items bar to retrieve items by Item title. Sort the item table by Last modified date.
2. Add item
- From the My drafts screen, select Add item.
- You will be taken to the add items screen, where you can add items via:
- Once you have added the item, click Save as draft.
Refer to Add items for more information.
3. Import Metadata
- Select Import metadata to import a CSV file to update the metadata for draft items.
- Note: Only columns matching metadata properties in the item will be imported. Draft items are matched by [id]. Refer to Metadata properties for more information.
- Add information about file requirements?
- Once the file has been uploaded, it will be validated. If validated, select Import to import the file.
Any draft items that match the metadata profile will be updated.
4. Publish
Roles: Users with the Administrator or Collection manager roles can publish drafts. Refer to CONTENTdm (new version) roles.
- Use the checkboxes to select one or more items to publish.
- Select Publish.
- The item will be in processing and cannot be edited, published, or deleted until complete.
To add an item to a collection via the edit item screen, see Edit published items.
Note: Users with the Collection builder role will need to assign the draft to a user with the Administrator or Collection manager role for them to then review the draft and publish. Refer to Assign to user.
5. More actions
Assign to user
- Select the More actions dropdown and choose Assign to user.
- From the Assign to user box, search for a user.
- Click Continue.
- Confirm the assignment.
- Once assigned, the draft will appear in the staff user's My drafts. It will no longer be available as a draft in your My drafts and you will only be able to see the item when it is published.
Export Metadata
Select the More actions dropdown and choose Export metadata.
- A CSV file containing the metadata for the drafted items is exported to your downloads folder.
Edit in Spreadsheet view
Only draft items can be edited in spreadsheet view.
Notes: Fields constrained to a Vocabulary or a Date range cannot be edited in spreadsheet view.
- Use the checkboxes to select one or more items to edit in spreadsheet view.
- Only items that have the same metadata template can be edited in bulk. Select only items that have the same metadata template.
- Select the More actions dropdown and choose Edit in spreadsheet view.
- The Edit drafts screen appears.
- Double-click into each column section to edit the content. OR Click into each column section to edit the content. Text will appear after your first keystroke.
- Right-click the column space to use additional features:
- Fill up: Fill every space above in this column with the edited content.
- Fill down: Fill every space below in this column with the edited content.
- Fill column: Fill every space in this column with the edited content.
- Copy: Copy content.
- Paste: Paste content.
- Click Save to save the item in draft.
- Click Publish to publish the item.
Add to collection
- Use the checkboxes to select one or more items to add to a collection.
- Select the More actions dropdown and choose Add to collection.
- Select the desired collection from the Collection add to dropdown.
- Optional. Change the primary collection for all items to the one selected.
- Click Add.

Delete
To delete multiple items, use the checkboxes to select one or more items.
- Select the More actions dropdown and choose Delete.
- Select Delete to confirm deletion.
6. Delete or edit individual draft items
To delete an individual item:
- In the row for the item to be deleted, select the trashcan icon
. - Click Delete to confirm deletion.
To view and edit an item, click on the Item title or select the pencil icon
from the Actions column.
