Manage scheduled reports

Learn how to manage scheduled reports using the Instances screen in Report Designer.

Access the Schedule Instances screen

The Schedule Instances screen provides a single place to view and manage your scheduled standard and custom reports.

To access the Schedule Instances screen:

  1. Click Report Launch Pad in the left navigation. Report Designer will open a new tab.
  2. Click the Home button (Screenshot of the Home button in Report Designer).
  3. Click the Instances tile on the Home screen. The Schedule Instances screen opens with a list of your scheduled reports visible in the Instances table.

The Scheduled Instances screen consists of two sections.

1. Filter panel

The Filter panel allows you to filter scheduled reports using the filters at the top of the screen.

  • Click the Collapse Header button (Screenshot of the Collapse Header button on the Report Designer Instances screen) to hide the Filter panel.
  • Click the Pin Header button (Screenshot of the Pin Header button on the Report Designer Instances screen) to keep the Filter panel visible.

To filter scheduled reports:

  1. Choose one or more of the filters below to apply to the Instances table.
  2. Select or enter the values you want to apply for each selected filter.
  3. Click Go to apply the filters to the Instances table.

 

Available scheduled reports filters

Filter Descrizione
Instance Time Click the Calendar button (Screenshot of the Calendar button on the Schedule Instances screen Instance Time filter in Report Designer) and select the date range you want to filter by.
Status Select one or more of the following statuses from the drop-down menu.
  • Success
  • Partial Success
  • Failed
  • Running
  • Recurring
  • Paused
  • Pending
  • Warning
  • Expired
Type Select one or more of the following report types from the drop-down menu.
  • Publication - Not available for WorldShare Reports
  • Analysis Workbook - Not available for WorldShare Reports
  • Crystal Reports - Not available for WorldShare Reports
  • Lumira Document - Not available for WorldShare Reports
  • Web Intelligence
  • Adobe Acrobat
  • Microsoft Excel
  • Text (CSV, CSV & HTML Archive)
Titolo Enter the title of a report in the text field.
Scheduled By Enter the scheduled by ID in the text field.

2. Work with scheduled reports

Refresh scheduled reports

There are two ways to refresh scheduled reports from the Schedule Instances screen.

  • Click the Refresh button (Screenshot of the Refresh button on the Scheduled Instances screen in Report Designer) to refresh all scheduled reports on the Schedule Instances screen.
  • Click the Auto Refresh button (Screenshot of the  Auto Refresh button on the Scheduled Instances screen in Report Designer) to refresh scheduled reports automatically every time you visit the Schedule Instances screen. You can click the Auto Refresh button again to shut off automatic refresh.

Export scheduled reports

You can export a list of all scheduled reports from the Scheduled Instances screen.

To export an Excel file of all scheduled reports, click the Export button (Screenshot of the Export button above the Instances table on the Schedule Instances screen in Report Designer) above the Instances table. The file will automatically download to your computer.

The Excel file contains the same columns as the Schedule Instances screen (Title, Status, Instance Time, Expiry, Scheduled By, Created On, and Subscription).

Run scheduled reports

There are two ways to run a scheduled report from the Schedule Instances screen.

Run a single scheduled report

  1. Click the More options button (Screenshot of the More options button on the Schedule Instances screen in Report Designer) associated with the report you want to run.
  2. Select Run Now from the More options pop-up menu. An instance of the report appears with a status of Pending.

Run multiple scheduled reports

  1. Select the checkboxes next to the reports you want to run. To select all scheduled reports, select the checkbox at the top of the first column.
  2. Click the More options button (Screenshot of the More options button above the Instances table on the Schedule Instances screen in Report Designer) above the Instances table.
  3. Select Run Now from the More options pop-up menu. An instance of each selected report appears with a status of Pending.

Delete scheduled reports instances

There are two ways to delete a scheduled report instance from the Schedule Instances screen.

Delete a single scheduled report instance

  1. Click the More options button (Screenshot of the More options button on the Schedule Instances screen in Report Designer) associated with the report instance you want to delete.
  2. Select Delete from the More options pop-up menu. A Delete confirmation dialog opens.
  3. Click OK to delete the instance.

Delete multiple scheduled report instances

  1. Select the checkboxes next to the report instances you want to delete. To select all scheduled report instances, select the checkbox at the top of the first column.
  2. Click the More options button (Screenshot of the More options button on the Schedule Instances screen in Report Designer) above the Instances table.
  3. Select Delete from the More options pop-up menu. A Delete confirmation dialog opens.
  4. Click OK to delete the instance.

Reschedule scheduled reports

  1. Click the More options button (Screenshot of the More options button on the Schedule Instances screen in Report Designer) associated with the report instance you want to reschedule.
  2. Select Reschedule from the More options pop-up menu. The Schedule screen opens.
  3. Edit the Recurrence section as needed.
  4. Click Schedule to save your updates.

View scheduled report details

You can view the details of a scheduled report from the Scheduled Instances screen.

To view the details for a scheduled report:

  1. Click the More options button (Screenshot of the More options button on the Schedule Instances screen in Report Designer) associated with the report about which you want to view details.
  2. Select Details from the More options pop-up menu. The Details dialog opens.
  3. Click Close to close the Details dialog.
