How can items in WMS be made loanable for specific patron types while remaining hidden from WorldCat Discovery?

Answer

Devices that are intended for internal use only (for example media kits, microphones, or technical equipment) can be managed in WorldShare Circulation as Temporary Items (uncataloged items).

Temporary Items do not have a WorldCat record and therefore do not appear in WorldCat Discovery. At the same time, their circulation can be fully controlled via Loan Policies, allowing loans exclusively to a designated staff patron type.

Recommended approach

  1. Create a dedicated shelving location
    A separate shelving location ensures that specific policies apply only to these devices and do not affect existing policies. The location is created in OCLC Service Configuration under WorldCat Discovery and WorldCat Local > Holding Codes & Shelving Location Messages.

  2. Define a Collection Type Policy for the new location
    Under OCLC Service Configuration > WMS Circulation > Collection Type Policy, create a dedicated rule for the devices. If holds should also be blocked in the staff interface, this must be configured here accordingly. Patron-placed holds in WorldCat Discovery are not possible in any case, as Temporary Items are not discoverable in WorldCat Discovery.

  3. Set up Loan Policies
    Two Loan Policies are required:
    - one Loan Policy that allows loans for the staff patron type (Circulates? = "This loan policy always allows for circulation")
    - one Loan Policy that blocks loans for all other patron types (Circulates? = "This loan policy never allows circulation")
    If an existing non-circulating Loan Policy is already in place (for example for reference collections), it can be reused.

  4. Configure the Loan Policy Map
    In the Loan Policy Map, assign the Loan Policies to the newly created shelving location:
    - one rule for the staff patron type
    - one rule for all other patron types with the non-circulating Loan Policy
    Ensure that the rule for the staff patron type is positioned above the general blocking rule and applies at the correct level.
  5. Create the devices as Temporary Items
    The devices are created under Discover Items. After scanning or entering the barcode, complete the item dialog and select the previously defined shelving location.

Temporary Items can only be found by library staff via barcode, title, or author and remain in the system until they are manually deleted.
