WorldShare Circulation release notes, November 2025

Introduction

This release of WMS Circulation provides many new Next-Generation Notification features, some identity management enhancements, and a bug fix. These features will help you manage more complex workflows, including:

  • Next-Generation Notifications: All Holds are now available, including custom pickup location messages. In addition, you may now copy templates to speed up the template creation process.
  • Identity management enhancements: Access to WMS Circulation now requires a circulation role, and you may now assign and manage additional barcodes for patrons in Admin UI.
  • Bug fix: One NGN fix that improves notification triggering.

Many of these enhancements are the direct result of your feedback.

Recommended actions

For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution.

Retirement:  WMS Collection Management API  (1 April 2026)

The WMS Collection Management API will sunset on 1 April 2026. Please review the Collection Management API transition resources to learn how to migrate to the Metadata API, which is much more modern, flexible, and robust.

We acknowledge that a common use case for the WMS Collection Management API has been a spine label printing solution. This feature is available via the Label Print Lists functionality within Record ManagerWMS Circulation, or WMS Acquisitions.

Group aware libraries: Ensure consistent patron experience by enabling NGNs at the same time

For group aware libraries, enable Next-Generation Notifications (NGNs) concurrently across all member institutions to ensure a consistent patron experience. When any member library enables a single NGN, its legacy notification will be disabled, so coordinate a single rollout window across the consortium to avoid mixed notification experiences for patrons who borrow from multiple libraries

New features and enhancements

Next-Generation Notifications: Copy templates, holds notifications, and pickup location messages

Copy template feature

Once a Next-Generation Notification template is configured, you may now make a copy of it to speed up the creation of additional templates of the same type.

To copy a template, you must first have at least one template created. Then:

  1. Navigate to Service Config > Next-Generation Notifications
  2. Under Templates, locate the template you wish to copy.
  3. Select Copy template next to the template of your choicecopy template.png
  4. Enter a Template name and select Copy

  5. You may then select Edit template to make changes to the new copy and Save any changes.

All NGN holds notifications now available

The full set of Hold notifications is now available in Next‑Generation Notifications, including support for the text message notification integration. The following Hold notifications are now available for you to configure:

  • Hold Request Confirmation: Confirms that a patron's hold request was accepted.
  • Hold Request Expiration Confirmation: Confirms a patron's pending hold request has expired.
  • Hold Request Deletion Confirmation: Confirms a patron's pending hold request has been deleted.
  • Fulfilled Hold Notice: Notifies a patron that their requested item is ready for pickup.
  • Fulfilled Hold Reminder: Reminds a patron about a ready-for-pickup hold before the reservation expires.
  • Fulfilled Hold Expiration Confirmation: Confirms that a fulfilled hold reservation has expired (was not picked up).
  • Fulfilled Hold Deletion Confirmation: Confirms that a fulfilled hold was deleted.
  • Fulfilled Hold Completion Confirmation: Confirms a fulfilled hold was marked complete.

In order to migrate your holds notifications to the NGN solution, you will need to:

  1. Create templates in Service Configuration > WMS Circulation > Next-Generation Notifications > Templates > Holds.

  2. After creating your templates, assign them to hold policies under Holds and Schedules > Hold Request Policy or Hold Fulfillment Policy (depending on notification type)

  3. Once your templates and policies are configured, you can then enable the NGN notifications under Next-Generation Notifications > Enable notification types.

Pickup location messages

Pickup location messages allow you to add repeatable blocks to hold notifications based on item pickup location. The pickup location message will be included in a hold notification if 1) you have the pickup location message template configured, and 2) you have configured a template to include this field label.

Configuring a pickup location message
  1. Navigate to Service Configuration > WMS Circulation > Next-Generation Notifications > Pickup location messages
  2. Select Add new pickup location message

  3. Configure the message and assign it to a pickup location.
Configuring a hold notification to include a pickup location message
  1. Navigate to  Service Configuration > WMS Circulation > Next-Generation Notifications > Templates > Holds
  2. Under Hold Details, open the Add data field dropdown and select Custom: Hold Pickup Institution and/or Custom: Hold Pickup Location

  3. Assign the template to a policy:
    1. Navigate to Holds and Schedules > Hold Fulfillment Policies > Hold Request Policy or Hold Fulfillment Policy
    2. Under Notifications, assign a template using the dropdown

  4. Enable the template's notification type under Next-Generation Notifications > Enable notification types

Additional patron barcodes in WMS Admin

We now offer better support for patrons who have more than one barcode associated with their account. Each time you edit a patron's barcode in WMS Circulation or WMS Admin, the previous barcode will be added to the patron's account as an Additional Barcode.

To find a patron's Additional Barcodes:

  1. Navigate to WMS Admin
  2. Search a patron
  3. Scroll to WMS Diagnostics
  4. Expand the accordion to show Additional Barcodes

From the Additional Barcodes interface, you can

  • View all additional barcodes associated with the patron's record
  • Set as primary an additional barcode to promote it to the patron's main identifier
  • Release an additional barcode to
    1. remove it from the patron record, and
    2. make it available for reuse for any other patron record

Please note that these actions are currently only available in the WMS Admin UI.

Access to WMS Circulation Now Requires a Circulation Role

To enhance data privacy and ensure appropriate access, only users assigned at least one Circulation role can now access the WMS Circulation application. While some non-Circulation roles—such as Acquisitions Admin—previously had limited Circulation permissions that allowed access to corresponding Circulation features, this update restricts access to the Circulation staff UI itself.

Importantly, this change does not affect Circulation-related workflows within other WMS applications that users already have access to. Those workflows will continue to function as before, ensuring a seamless experience.

Bug fix

  • Fixed an issue where NGN loan overdue notifications with past due dates were not scheduled when opening hours are enabled.
