WEBVTT 1 "Crystal Rodriguez" (1791413504) 00:00:01.500 --> 00:00:21.500 Okay, I've started the recording. So welcome to today's session Connexion client for save files and batch processing. My name is Crystal Rodriguez and I am a product trainer with OCLC's member education team. 2 "Crystal Rodriguez" (1791413504) 00:00:21.500 --> 00:00:35.970 And this training will enable you to use the online and local save files in Connexion client and the client's batch processing features. 3 "Crystal Rodriguez" (1791413504) 00:00:35.970 --> 00:00:53.490 Between Connexion, sorry I apologize, features to efficiently process large numbers of records. After this class, you will be able to work with online and local save files. 4 "Crystal Rodriguez" (1791413504) 00:00:53.490 --> 00:01:13.490 You'll understand the difference between connection online and offline cataloging. You'll also understand local file management and the setup for offline cataloging, along with offline cataloging processes such as bibligraphic search keys, taking actions on safe file. 5 "Crystal Rodriguez" (1791413504) 00:01:13.490 --> 00:01:14.460 The records. 6 "Crystal Rodriguez" (1791413504) 00:01:14.460 --> 00:01:34.460 And processing holdings by OCLC number. When you're working with Records and connection client, you have the option to use save files to store unfish finished work. This option allows you to store the record if you need to verify data, review your. 7 "Crystal Rodriguez" (1791413504) 00:01:34.460 --> 00:01:37.230 Work or have someone else review your work. 8 "Crystal Rodriguez" (1791413504) 00:01:37.230 --> 00:01:54.540 There are two types of save files. With the online save file, files are stored at OCLC. Saving records to the online save file is optional, and records saved in the online save file can be shared amongst others at your institution. 9 "Crystal Rodriguez" (1791413504) 00:01:54.540 --> 00:02:14.540 And can be viewed in both Connexion client and WorldShare Record manager. Using the My status option enables you to identify your records from those of others at your institution. Local save files are stored on your computer or network hard drive. Therefore, typically. 10 "Crystal Rodriguez" (1791413504) 00:02:14.540 --> 00:02:19.470 See a my status value is not needed. You can add one if you'd like though. 11 "Crystal Rodriguez" (1791413504) 00:02:19.470 --> 00:02:35.970 The local save file allows easy individual access for online and offline cataloging. It also allows you to select and or take action on groups of records. The local save file allows for batch processing as well. 12 "Crystal Rodriguez" (1791413504) 00:02:41.160 --> 00:02:58.020 Now let's go and look at this in Connexion client. So you should be seeing my Connexion client. I'm going to start by logging in, so I'll go to file and then log on. 13 "Crystal Rodriguez" (1791413504) 00:02:58.020 --> 00:03:13.110 Now, as I showed in previous classes, I've already set up my authorization numbers. However, if you haven't done that, you can click on the Setup authorizations here and that will open up the window for you to do that. And I will show this again. 14 "Crystal Rodriguez" (1791413504) 00:03:13.110 --> 00:03:30.450 In the session in a bit. Because I've got mine already activated here I'm gonna go ahead and click ok. And then I get a little notice of the day I'm gonna go ahead and close that. Now my library has several catalogers that are saving records. 15 "Crystal Rodriguez" (1791413504) 00:03:30.450 --> 00:03:46.140 To the online save file, and I want to be able to easily identify and locate the records that I've saved. So before working with the online save file, I'm going to set up the optional My status to help me locate my saved records. To do that. 16 "Crystal Rodriguez" (1791413504) 00:03:46.140 --> 00:04:02.820 I'm going to go to the tools menu and then choose options. And I want to choose the option for my status. And here you see that I have options to add a status for multiple types of records. 17 "Crystal Rodriguez" (1791413504) 00:04:02.820 --> 00:04:22.020 For today's purposes, I'm adding a status for bibliographic records, and I usually just put my initials in there. You can do whatever works for your library. You can put your name, an ID number, whatever works, and then I'm gonna click apply and then just close that window. 18 "Crystal Rodriguez" (1791413504) 00:04:22.020 --> 00:04:37.709 Now I'm going to go ahead and search for a bibliographic record. I'm gonna use the quick search option, and I'm just gonna enter an OCLC number and Connexion is thinking. 19 "Crystal Rodriguez" (1791413504) 00:04:37.709 --> 00:04:53.099 Here we go. All right, and we have this record that's open. I'm going to make a slight edit to the record. I'm just gonna add an additional 650 after the existing 650 subfield zeros I'm just gonna click in that field, hit enter to add another. 20 "Crystal Rodriguez" (1791413504) 00:04:53.099 --> 00:05:09.899 Field underneath and start typing, and I just want to put anthomology and now that I've made an edit, I have a couple of options for saving this to the online save file. 21 "Crystal Rodriguez" (1791413504) 00:05:09.899 --> 00:05:27.389 Prior to making an edit, I could just take the action of saving. But once you've edited a record, if you try to close it, you're going to get a notice asking if you want to save it. So I'm gonna go ahead and do that so you see that. I'm gonna click on the X over here to try to close this, and I get an. 22 "Crystal Rodriguez" (1791413504) 00:05:27.389 --> 00:05:43.889 Asked if I want to save this to my local file, my online save file or close or cancel. I'm gonna go ahead and cancel, I don't want to close the record. So that's where if you've made an edit and you try to close, you'll be asked if you want to save. 23 "Crystal Rodriguez" (1791413504) 00:05:43.889 --> 00:06:03.889 I also can just manually save, so to do that, I can go to the action menu and choose save record to online file or I can use the keystrokes that are shown here. So I'm gonna go ahead, click on that. Also, if you do have this option. 24 "Crystal Rodriguez" (1791413504) 00:06:03.889 --> 00:06:07.169 Known on your toolbar, you can use that as well. 25 "Crystal Rodriguez" (1791413504) 00:06:07.169 --> 00:06:27.169 So what happens then is Connexion is going to assign my record to the 1st available save file number and I get a notice letting me know what number that is. So I can see that this record was saved as number 163. So I can make a note of that. I can go ahead and click ok to close that message and. 26 "Crystal Rodriguez" (1791413504) 00:06:27.169 --> 00:06:31.079 Then that does close that record for me. 27 "Crystal Rodriguez" (1791413504) 00:06:31.079 --> 00:06:51.079 Now to search for all of the records in the safe file, I'm going to go to cataloging, search, and then I choose online save file. Again, I do have options of a keystroke or the toolbar. To get all of the records, I'm going to leave. 28 "Crystal Rodriguez" (1791413504) 00:06:51.079 --> 00:06:55.739 The search box empty and just click ok. 29 "Crystal Rodriguez" (1791413504) 00:06:55.739 --> 00:07:12.719 And you'll note that I get a notice letting me know that there are over a hundred records and so to see the next hundred I need to use the view menu. I'll show you that. I'm gonna go ahead and click ok to remove that message. And then if I go to view, I can click navigate records and list. 30 "Crystal Rodriguez" (1791413504) 00:07:12.719 --> 00:07:31.319 I can just hover over that and then I see next 100 records, and again, I have those other options available if you prefer those. And then that takes me to the next 100. If I look at the bottom of the screen, I see 101 of 196. And then I can do the same thing to go back. 31 "Crystal Rodriguez" (1791413504) 00:07:31.319 --> 00:07:48.179 View navigate records and list and choose previous 100 records. I'm gonna close this. Now I can also search by my status. So again, opening cataloging search. 32 "Crystal Rodriguez" (1791413504) 00:07:48.179 --> 00:08:08.179 Online save file. I want to enter in my status that I added of my initials, and then I'm going to choose from the dropdown I'm going to choose my status, click ok, and then right now I only have that one record that I saved with my status. 33 "Crystal Rodriguez" (1791413504) 00:08:08.179 --> 00:08:18.089 And I can tell that my status is added. If I look at the very bottom of my screen, I can see that notice there saying my status. 34 "Crystal Rodriguez" (1791413504) 00:08:18.089 --> 00:08:35.249 Another option for searching the online save file. Again, I'm gonna go ahead and go cataloging search online save file. I can search for a save file number or an OCLC number. So if I put in the safe file number of 163. 35 "Crystal Rodriguez" (1791413504) 00:08:35.249 --> 00:08:53.849 Change my dropdown to save file number. Before I do that, you can see the other options here of OCLC control number, title, URL or use date. So I'm choosing save file, clicking ok, and the same records there for me. 36 "Crystal Rodriguez" (1791413504) 00:08:53.849 --> 00:09:11.459 So there's multiple ways that you can search there. It is important to note that once you perform an update or a replace action, the record is automatically removed from the online save file. So to remove those records manually, I want to go to the action menu. 37 "Crystal Rodriguez" (1791413504) 00:09:13.949 --> 00:09:31.979 And then I want to choose delete record. I know that can be confusing because you think you're deleting it from Worldcat, you're not, you're just deleting it from your save file here. And with that, if you don't want it to be deleted when you take an action, you're gonna wanna resave it before you close it. 38 "Crystal Rodriguez" (1791413504) 00:09:37.679 --> 00:09:56.849 And if NO action is taken, then that record will remain in the same file indefinitely. That's specifically for online saved files as well. Okay, now I also want to go ahead and store my records on my local workstation. 39 "Crystal Rodriguez" (1791413504) 00:09:56.849 --> 00:10:12.569 So I'm going to need to use a local save file for that. Before working with the local save file, we must 1st set up that local file. And these are set up within the local file manager of Connexion. And Connexion will create a default. 40 "Crystal Rodriguez" (1791413504) 00:10:12.569 --> 00:10:29.099 But there is an option to set up multiple local files. So we're gonna take a look at that. So that is found under file menu. And then we're gonna click local file manager. And we see that my default is already created for me. So. 41 "Crystal Rodriguez" (1791413504) 00:10:29.099 --> 00:10:49.099 I could just use that, but I want to have a separate file. This, having separate files can be useful if maybe you're working on different projects, you're doing something for different branches or, you know, maybe you like to have different genres. There's multiple reasons you might want different local files. So I'm going to go ahead and click. 42 "Crystal Rodriguez" (1791413504) 00:10:49.099 --> 00:11:08.069 Click on create file. Actually, let me cancel that for a minute. I want to note that at the top, my default is to choose the file type I already have biblographic. So we want to make sure we're choosing that in order to create a local file for biblographic records. So now I'm gonna click on create file and. 43 "Crystal Rodriguez" (1791413504) 00:11:08.069 --> 00:11:28.069 My explorer opens up, got my default there, but to add a new one, I'm just gonna type in a name. So I'm just gonna call this test local two, and I click open, and now I see that new file is there. So I can double click on that to set that as my default or. 44 "Crystal Rodriguez" (1791413504) 00:11:28.069 --> 00:11:33.539 You can just click on it once and choose set as default. 45 "Crystal Rodriguez" (1791413504) 00:11:33.539 --> 00:11:50.009 Now there's a few areas within the local file manager that you have some options. You can add an authorization number that's specifically just for this local file. It is important to note that if you do this, it will overwrite that default authorization. 46 "Crystal Rodriguez" (1791413504) 00:11:50.009 --> 00:12:05.819 And typically, this isn't used often, but it can be helpful if you have multiple staff that work on the same workstation or like for shared network drives that can be helpful. So you would just click on authorization and then you can assign an authorization number and password. 47 "Crystal Rodriguez" (1791413504) 00:12:05.819 --> 00:12:21.209 To that specific file. Also, we will be talking more about batch reports in a bit, but if you want to see the last report when you're adding. 48 "Crystal Rodriguez" (1791413504) 00:12:21.209 --> 00:12:38.669 The local file or from the local file manager, you can choose the type of report here on the screen so I could choose e.g. searches and then I can click view reports and I'm gonna see the last report. Right now I don't have anything. I have to close that, to close that. 49 "Crystal Rodriguez" (1791413504) 00:12:38.669 --> 00:12:53.849 Let me reopen that local file manager. So you want to note that when you use this option, the batch reports are gonna open behind the local file manager, and if you select multiple report types. 50 "Crystal Rodriguez" (1791413504) 00:12:53.849 --> 00:13:11.549 They'll open simultaneously behind each other, so you'll kind of have to close one to see the other. To be honest I don't use that very often, but I just want to show it to you in case that's something you find helpful. And then another thing that might be helpful to know is that when you exit the client. 51 "Crystal Rodriguez" (1791413504) 00:13:11.549 --> 00:13:30.029 After using a local file or you make a change to the default local file, the client will back up each of those default files that you used to that same folder as the original file using that same file name, but with the additional file extension of.BAC. 52 "Crystal Rodriguez" (1791413504) 00:13:30.029 --> 00:13:50.029 So if you see a.BAC in your files, that's just your backup. And then the other thing I want to point out here because this does come up often, if you need to try to repair the file, e.g., maybe you're getting an erroneous message that indicates that there are records in your file that. 53 "Crystal Rodriguez" (1791413504) 00:13:50.029 --> 00:14:09.059 You're in use by another user and when that happens you can't proceed because those need to be unlocked, but you're like I'm I don't have anything locked. So you want to try 1st to use the compact repair option here, and that's just going to sort of refresh your local file. 54 "Crystal Rodriguez" (1791413504) 00:14:09.059 --> 00:14:28.319 And that should correct the error. If that doesn't work, reach out to customer support. Alright, so just a couple of notes there. I'm gonna go ahead and close this local file manager, and let's go ahead and save a record to the local save file. 55 "Crystal Rodriguez" (1791413504) 00:14:28.319 --> 00:14:46.319 Now note that we must be logged on to perform manual searching and adding of files to the local file save file. That's specifically for doing manual. So I am currently logged on if I wasn't I would have to do that. 56 "Crystal Rodriguez" (1791413504) 00:14:46.319 --> 00:15:05.729 All right. I'm going to search for that same OCLC number again since we already have it in my quick search I'm just gonna leave that there and just click enter to bring up that record. And again, if I had made an edit, I'd be asked what I wanna do, but in this case I'm just gonna go ahead and save it to my local file. 57 "Crystal Rodriguez" (1791413504) 00:15:05.729 --> 00:15:25.729 So I can use the F4, my, I can use my toolbar option or I can use the action menu. So I'm gonna click action and then save record to local file. And again, Connexion's going to assign that record to the 1st available. 58 "Crystal Rodriguez" (1791413504) 00:15:25.729 --> 00:15:44.009 Save file number in my local file, so in this case it's gonna be local file number one. Let's go ahead and search for another record. This time I'm going to use cataloging menu, search and WorldCat. And I want to clear out my previous search here. 59 "Crystal Rodriguez" (1791413504) 00:15:44.009 --> 00:16:01.649 And I'm just going to search for another OCLC number. Of course, as we learned in previous classes, if you don't have the OCLC number, you can search by title, authorization, I mean sorry, author, other indexes et cetera. 60 "Crystal Rodriguez" (1791413504) 00:16:01.649 --> 00:16:18.719 I'm gonna go ahead and click ok to search that. You can also just hit enter, and then I want to save this one to my local save file. This time I'll just use the F4. We don't really see that working until we get the save file number. 61 "Crystal Rodriguez" (1791413504) 00:16:21.929 --> 00:16:40.079 And there we see save file number two and I'm going to perform another search to show you using those, the keyword and numeric search area, so I'm gonna remove my previous command line search. And here I'm going to search. 62 "Crystal Rodriguez" (1791413504) 00:16:40.079 --> 00:16:55.139 For lizard library, and this is a series, so I want to change my dropdown to series to get that index, and I want to actually search this as a series phrase. 63 "Crystal Rodriguez" (1791413504) 00:16:55.139 --> 00:17:11.399 And then I'm just gonna hit enter, and I get a long list that fits that. The saving files, sorry, there's a question, does saving files and batch work the same way with the newer OCLC version? I'm assuming that you mean. 64 "Crystal Rodriguez" (1791413504) 00:17:11.399 --> 00:17:28.949 The 3.1 version versus like 2.63. Yes. In fact, I did neglect to mention that I am currently on 3.1, so these features are not different than if you're on one of the older versions of connection. 65 "Crystal Rodriguez" (1791413504) 00:17:28.949 --> 00:17:47.669 Now if you're talking about record manager, that's a completely different class. But as I mentioned earlier, if you save to your online save file in Connexion, you can view that in Record Manager as well. So that's a good thing to know if you have people using both Record Manager and Connexion. 66 "Crystal Rodriguez" (1791413504) 00:17:48.989 --> 00:18:07.889 All right. So with my list here, just like we learned in one of our previous classes, we can select multiple records from a list to save those. So 1st I can either just save one record. I can do that just by highlighting it. 67 "Crystal Rodriguez" (1791413504) 00:18:07.889 --> 00:18:27.889 And following the action of save record to local file or using the F4 etc. I also could click to open that record and then again save through those methods. And then if I want to save records that are next to each other, so let's say I. 68 "Crystal Rodriguez" (1791413504) 00:18:27.889 --> 00:18:32.099 Want to save all of these records that are the Chameleon. 69 "Crystal Rodriguez" (1791413504) 00:18:32.099 --> 00:18:48.929 So I'm going to click on the 1st camellion and then I'll use this shift key to click through to save all of these titles that are the camellion. So with them all highlighted, I'll go to action, save record to local file. 70 "Crystal Rodriguez" (1791413504) 00:18:48.929 --> 00:19:03.929 And we see a little bit of a hourglass. They did save, we'll see that in a moment. Now, if I have records that are not next to each other, then I would use control. So let's say I want to save the gila monster and the green iguana. 71 "Crystal Rodriguez" (1791413504) 00:19:03.929 --> 00:19:23.849 So I'm gonna click on the Gila Monster 1st, then I'm going to use control and then click on the green iguana, and let's go ahead and click on the Komodo dragon also. And then I'm going to click that action, save record to local file, and then those saved for me, which we'll see in a moment. 72 "Crystal Rodriguez" (1791413504) 00:19:23.849 --> 00:19:41.459 Alright, so to see that those saved, I'm going to go ahead and close that list and much like we did for online save file, we can search for the local save file in similar ways. So if we go to cataloging, search. 73 "Crystal Rodriguez" (1791413504) 00:19:41.459 --> 00:19:56.789 This time we're gonna choose local save file, you can also use the F3 or the toolbar option. And again, if I want to get the whole list, I'm going to leave the search box blank, click either ok or enter. 74 "Crystal Rodriguez" (1791413504) 00:19:56.789 --> 00:20:16.789 And here we see there are those Chameleon records that I saved, and then there are those three that I grabbed that were not next to each other. And I can also note here that my status is showing for all of these since I set that up at the beginning. But as I mentioned for local save files, you don't necessarily need to have a myself. 75 "Crystal Rodriguez" (1791413504) 00:20:16.789 --> 00:20:21.749 That is there. 76 "Crystal Rodriguez" (1791413504) 00:20:21.749 --> 00:20:41.749 Okay. And then we can search for specific titles. So again, if we go to the local save file, I can search by title. So if I just want to put in Chameleon, click ok with my title option shows in there. Now I'm only. 77 "Crystal Rodriguez" (1791413504) 00:20:41.749 --> 00:20:44.789 Seeing those. 78 "Crystal Rodriguez" (1791413504) 00:20:44.789 --> 00:21:01.829 I can also search for, again, by save file number, I can search by title, name, name status etc. So let's say if I put save file in, I could just go to say file number seven, and there we go. 79 "Crystal Rodriguez" (1791413504) 00:21:01.829 --> 00:21:21.829 Alright, and then I do want to go ahead and bring up the full list because I wanted to show one other item that you can manage within your local save files, so if we go back to cataloging search local save file or use one of those other options, I'm just gonna hit enter to have the full list. And just like. 80 "Crystal Rodriguez" (1791413504) 00:21:21.829 --> 00:21:23.729 When we're working with list. 81 "Crystal Rodriguez" (1791413504) 00:21:23.729 --> 00:21:42.209 In our regular searching, we do have the option to right click and we can choose list settings, and here we can select what items we want to show in our list and what order we want them. So, e.g., maybe I don't want to show the code, I can just X out of or. 82 "Crystal Rodriguez" (1791413504) 00:21:42.209 --> 00:21:59.819 Remove that checkmark by clicking in there. I can remove label, and then let's say I want to show the save file number 1st. I'll just click on save file and choose move up, and then you can also click move down if you want it further down in your list. 83 "Crystal Rodriguez" (1791413504) 00:21:59.819 --> 00:22:17.969 Maybe I just want to have the held up. I'm gonna move that one up a couple, and then click ok and you see how my list changed for me. I also can sort this list, so if I click on title, it'll sort alphabetically by title and then clicking again will do a reverse sort. 84 "Crystal Rodriguez" (1791413504) 00:22:17.969 --> 00:22:36.869 Same for all of the other options here. I can do the same for OCLC number, for my contributor, et cetera. And then right clicking again and choosing list settings, if I want to set that back to the default, I'll just click reset. 85 "Crystal Rodriguez" (1791413504) 00:22:36.869 --> 00:22:55.259 And then it shows all of these. So I'm actually not gonna save that because I don't want that many there. I'm gonna cancel that. Okay, so I'm gonna move back over to my slideshow for a moment here. I'm not seeing any other questions, but. 86 "Crystal Rodriguez" (1791413504) 00:22:55.259 --> 00:23:10.739 I'll keep an eye out if any come through. Alright, so as I mentioned, Connexion client offers the option for online processing and offline processing. 87 "Crystal Rodriguez" (1791413504) 00:23:10.739 --> 00:23:30.739 Connexion online processing allows you to evaluate, edit, and or perform actions one record at a time. To use connection online processing, you must log on with your nine digit authorization and password. And before I talk about offline, I do see a question. How do you delete record. 88 "Crystal Rodriguez" (1791413504) 00:23:30.739 --> 00:23:35.999 It's from the local save file. That is actually done in the same way as. 89 "Crystal Rodriguez" (1791413504) 00:23:35.999 --> 00:23:55.739 Online save file, I'll show that in a moment, ok? So hold on to that thought. I'm gonna jump back to my slide here. So talking about Connexion offline processing, this allows you to work with groups of records without having to log on. You can search. 90 "Crystal Rodriguez" (1791413504) 00:23:55.739 --> 00:24:11.879 Add holdings and export multiple records in one process. The local save file is mandatory for this process. So this is the offline processing is often referred to also as batch processing. All right. 91 "Crystal Rodriguez" (1791413504) 00:24:11.879 --> 00:24:27.539 And let me go back over to my Connexion, and I'll show that delete to answer your question there. So let's say I I'm gonna sort by. 92 "Crystal Rodriguez" (1791413504) 00:24:27.539 --> 00:24:47.539 Save file number and let's say I just want to remove number five. So I can either here from the list, I can just click highlight it, choose action, and then choose delete record. I'm gonna be asked if I'm sure yes I am, and you note that five went away. I also can open a record by. 93 "Crystal Rodriguez" (1791413504) 00:24:47.539 --> 00:24:48.779 Double clicking. 94 "Crystal Rodriguez" (1791413504) 00:24:48.779 --> 00:25:08.779 And take that same action. So choose action delete record, say yes, and now say file nine is not showing. Alright, now my library has received a large order of books. 95 "Crystal Rodriguez" (1791413504) 00:25:08.779 --> 00:25:14.759 It's from a vendor and my cataloger wants to process those records offline and in batch. 96 "Crystal Rodriguez" (1791413504) 00:25:14.759 --> 00:25:30.629 So before we do that, we will 1st need to set up Connexion for offline cataloging. To do that, I'm going to close out of my local safe file for a moment. And then we want to go to the tools menu, and we're gonna choose options. 97 "Crystal Rodriguez" (1791413504) 00:25:30.629 --> 00:25:47.219 You may note that a lot of our options are there in that tools options. This time though, we're gonna click on general, and we want to choose offline cataloging options. It is very important that you complete this section. 98 "Crystal Rodriguez" (1791413504) 00:25:47.219 --> 00:26:05.489 So, you're going to choose your classification scheme. I'm leaving mine as library of Congress. You have some other options here, do we national Library of medicine, et cetera. This is like your default classification scheme that you want to add there. And then you want to add your holding library code. 99 "Crystal Rodriguez" (1791413504) 00:26:05.489 --> 00:26:25.439 This was discussed in a previous class, but that is essentially assigned by OCLC. It's going to be what you see in your 049 field. It's usually the 1st three characters and an A if you have a three character symbol or it might be the word Main. 100 "Crystal Rodriguez" (1791413504) 00:26:25.439 --> 00:26:44.879 So I'm adding that and then I want to add my OCLC symbol, and then if you are a NACO cataloger, you would want to add your MARC organization code here. I don't need to add that. Once I add those, I click ok, and I'm just gonna go ahead and click apply and then close. 101 "Crystal Rodriguez" (1791413504) 00:26:44.879 --> 00:27:02.999 And so now when I'm logged on Connexion client will use that holding library code in the institution symbol for the the sort of action part of the batch processing. Okay. 102 "Crystal Rodriguez" (1791413504) 00:27:02.999 --> 00:27:22.559 It's also important to set batch processing options to tell Connexion what to search, how many results to download, and or what actions to perform online. So that is again under tools options. This time it's under batch. 103 "Crystal Rodriguez" (1791413504) 00:27:22.559 --> 00:27:41.729 And here you see the maximum number of matches to download. The default value is one. You might want to leave this as one or choose a lower number if you have a student worker and you want them to review one match or just a few matches at a time instead of having to review. 104 "Crystal Rodriguez" (1791413504) 00:27:41.729 --> 00:28:01.729 50, 100 etc. Now, the most that you can add here is a 150. I'm going to go ahead and enter 50. You can use the up down, but it's just as easy to type that in. And I'm adding 50 because my library cataloger wants to review multiple matches to find the best match. 105 "Crystal Rodriguez" (1791413504) 00:28:01.729 --> 00:28:17.759 And this means that Connexion will download all of the records that match my search up to that 50. However, if there are more than 50 matches, none of those will be downloaded and I'll either need to narrow my search or change. 106 "Crystal Rodriguez" (1791413504) 00:28:17.759 --> 00:28:33.539 The maximum number of records. Also, we want to look at the batch search keys to retain. So what this is, is when we begin to add our batch keys, our batch search keys, we want these to be kept. 107 "Crystal Rodriguez" (1791413504) 00:28:33.539 --> 00:28:48.719 In Connexion's search key file essentially, if we have, we choose whether we want that kept there if we have too many matches or if a match is not found or an error. Adding these can be helpful. 108 "Crystal Rodriguez" (1791413504) 00:28:48.719 --> 00:29:05.969 In those scenarios where you've added only 50 here and you get a 150, that way you don't have to reenter that. So I'm going to go ahead and just check to show me the too many matches to retain that. All right. 109 "Crystal Rodriguez" (1791413504) 00:29:05.969 --> 00:29:22.919 And then right below that we choose what we want to do with the reports. Do we want to just view them or do we want to have them print automatically or both? I'm just gonna choose to display batch reports automatically, and we'll see that in action shortly. 110 "Crystal Rodriguez" (1791413504) 00:29:22.919 --> 00:29:38.669 All right. And then under the record action section, you're going to choose, if you want to select delete attached lhrs and LBD when deleting holdings. What this is, is if you have. 111 "Crystal Rodriguez" (1791413504) 00:29:38.669 --> 00:29:58.319 A record that you're needing to delete, your holdings and you already have an LHR, a local holdings record or a local biblographic data record, you, if, if you want those automatically deleted, you'll select this. If you want to be prompted. 112 "Crystal Rodriguez" (1791413504) 00:29:58.319 --> 00:30:16.739 Then don't select this because it'll tell you, it'll fail that action and then you get to decide what you want to do. So I'm going to go ahead and leave that unselected. Now note that that only applies when you're doing batch processing. 113 "Crystal Rodriguez" (1791413504) 00:30:16.739 --> 00:30:33.389 Okay, and then lastly, under the perform local actions in batch, this is where we're gonna indicate what actions we want performed in batch processing. It's important to note that if we select this and then we later don't want to perform that action in batch. 114 "Crystal Rodriguez" (1791413504) 00:30:33.389 --> 00:30:53.389 We might get an error, so I see this happen frequently where a librarian is working and they've chosen biblographic record export in batch, and then they later on want to go and manually export and they get an error. If that happens, you might want to check this batch section and uncheck biblographic record. 115 "Crystal Rodriguez" (1791413504) 00:30:53.389 --> 00:30:54.269 Export. 116 "Crystal Rodriguez" (1791413504) 00:30:54.269 --> 00:31:14.269 Or a saying could be true of label printing etc. So I am going to go ahead and choose bibliographic record export because in a moment I'm going to want to perform that action in batch. And then I'm gonna click apply and then close. Let me go back to the. 117 "Crystal Rodriguez" (1791413504) 00:31:14.269 --> 00:31:19.229 That one more time actually if we go to tools options. 118 "Crystal Rodriguez" (1791413504) 00:31:19.229 --> 00:31:35.969 Again, this is where, if you still haven't set up your authorization number, you can go back to the tools options and click on authorizations and you can add authorization numbers there. Okay. 119 "Crystal Rodriguez" (1791413504) 00:31:45.599 --> 00:32:00.989 All right. So before I show the batch processing workflow, I just wanted to talk about a bit here. So using batch processing, you can enter bibliographic search keys, edit records, set holding actions, and or export. 120 "Crystal Rodriguez" (1791413504) 00:32:00.989 --> 00:32:18.509 And you can perform quick batches for holdings. When you're searching using bibliographic search keys, it's important to remember a few things. You're going to enter the search keys in the same format that you would use for online searches. 121 "Crystal Rodriguez" (1791413504) 00:32:18.509 --> 00:32:36.659 Just like with online searches, numeric searches are preferred, as they will generally return less record results, and OCLC number search will return one record for that item. You can enter keyword derived and or phrase searches as well. 122 "Crystal Rodriguez" (1791413504) 00:32:36.659 --> 00:32:51.749 Index labels and qualifiers maybe set for all searches or entered with the specific search keys, and then you can also import a file for searching such as when you have a list of OCLC numbers. 123 "Crystal Rodriguez" (1791413504) 00:32:51.749 --> 00:33:09.239 When you're editing, you will use the same record editing techniques as when you're working online. And you may need to take actions such as adding holdings, deleting holdings or exporting. Alright, I see a question. We use OCLC record manager, WorldShare metadata. 124 "Crystal Rodriguez" (1791413504) 00:33:09.239 --> 00:33:25.289 The commands are different. Will this work the same way? So OCLC record manager, it's called Saved in progress. I believe, actually I think those are only online save files. 125 "Crystal Rodriguez" (1791413504) 00:33:25.289 --> 00:33:40.799 Actually, my colleague Mallory is on the call. I'm gonna ask her if she can look that answer up for us and add it to the chat. I think your question is, can we use local files in record manager? And I'm pretty sure the answer to that might be NO. 126 "Crystal Rodriguez" (1791413504) 00:33:40.799 --> 00:34:00.799 But I'm just not remembering properly right now, I apologize. I'm on Connexion brain right now. So I'm gonna ask Mallory if she can address that. If not, I promise I'll get back to you at the end of the class. Alright. 127 "Crystal Rodriguez" (1791413504) 00:34:00.799 --> 00:34:09.329 Okay, I'm gonna jump back over to my Connexion again. 128 "Crystal Rodriguez" (1791413504) 00:34:09.329 --> 00:34:26.729 So again remember that my library just received a shipment of books from our local vendor. For most of the titles, the vendor provided the OCLC number. However, in some cases we will need to search by ISBN or title. So let's see batch searching in Connexion at work. 129 "Crystal Rodriguez" (1791413504) 00:34:26.729 --> 00:34:43.139 I'm going to go ahead and start by clicking on batch, and then I choose enter bibliographic search keys. And when I do that I get the search key box that opens up. 130 "Crystal Rodriguez" (1791413504) 00:34:43.139 --> 00:35:03.139 1st let's note that my local file is the new file that I just created, but I can use the dropdown to choose a different local file there. This is where my searches are going to end up, ok? Now I've added a few oclc. 131 "Crystal Rodriguez" (1791413504) 00:35:03.139 --> 00:35:13.709 Numbers and title searches to a text file that I saved on my workstation. Let me see if I can actually open that up to show that to you. 132 "Crystal Rodriguez" (1791413504) 00:35:13.709 --> 00:35:33.709 Just one moment while I grab that. Oops the wrong one. Sorry, wrong one opened up for me there. Okay, I'm gonna see if I can bring this over to the shared screen here. Alright, so you'll see here this is just a text file that I created that has OCLC numbers. 133 "Crystal Rodriguez" (1791413504) 00:35:33.709 --> 00:35:52.469 And a couple of title searches. Ignore the spelling error, that's part of my plan. So to do this, you would, you can just copy these into notepad and save that as a file. So I'm gonna X out of that because I'm going to import that. So. 134 "Crystal Rodriguez" (1791413504) 00:35:52.469 --> 00:36:09.929 To import that file, I'm here under the under enter bibliographic search keys. I'm going to click import, and then I'm taken to where that file is or I may have to navigate. I'm just gonna click on batch search keys, click open. 135 "Crystal Rodriguez" (1791413504) 00:36:09.929 --> 00:36:29.929 And you'll note that that was saved as a text file. I'm asked if I want to delete my original import file. I usually say NO because for two reasons. One, I use it for this class multiple times. But more importantly, if there are errors and I need to import again. 136 "Crystal Rodriguez" (1791413504) 00:36:30.509 --> 00:36:50.509 I want to be able to have that and then I can just delete that file on my own later. That is just a preference on your end. I'm gonna go ahead and say NO, and actually I need to correct something. I, this is should not be showing. Let me delete this and start over. I apologize. I had something that I was doing prior to this class and I did. 137 "Crystal Rodriguez" (1791413504) 00:36:50.509 --> 00:37:10.499 Didn't correct that. Alright, I'll get to that in a moment though. All right, let me do that again. Import batch search keys, and then open say NO. Alright, now this looks like I wanted it to. All right. 138 "Crystal Rodriguez" (1791413504) 00:37:10.499 --> 00:37:28.619 Now, I can also add search keys manually, so if you're adding search keys and you don't need to add a default index, then you want to make sure you're looking at that. So. 139 "Crystal Rodriguez" (1791413504) 00:37:28.619 --> 00:37:47.009 1st, I'm gonna add an ISBN where I will choose the default index. So I'm going to go into the query box and I'm just going to add in an ISBN that I have, and then I want to change the default index from none. 140 "Crystal Rodriguez" (1791413504) 00:37:47.009 --> 00:38:04.649 To ISBN, I can start to type or I can scroll down and I can choose ISBN there. And then I'll click add and you see that it was added into my searches. And then for my next example. 141 "Crystal Rodriguez" (1791413504) 00:38:04.649 --> 00:38:23.100 I'm going to actually add the index in with my query, so I want to change the use default index to none because I don't want any indexes added. I'm adding that myself. And I'm going to add TI, equals. 142 "Crystal Rodriguez" (1791413504) 00:38:23.100 --> 00:38:40.140 Actually I'm gonna choose a different example. I'm gonna do TIW equals wrinkle in time. And this is where I can apply default worldcat qualifiers. That's what I had accidentally done a moment ago. So once you click on that. 143 "Crystal Rodriguez" (1791413504) 00:38:40.140 --> 00:39:00.140 It's going to apply that until you unclick it. So I'm gonna remove a couple of these for a moment here. So you can just add one qualifier. When you're adding the qualifiers, the space is very important. So I have to add a space 1st and I'm adding the qualifier for language. 144 "Crystal Rodriguez" (1791413504) 00:39:00.140 --> 00:39:02.220 Which of cataloging of English. 145 "Crystal Rodriguez" (1791413504) 00:39:02.220 --> 00:39:20.580 For this example, because I am sure I'm going to get back quite a few wrinkle in time, I want to add multiple qualifiers, so you can add either one or multiple. I am going to go ahead and add in the others that I had here. So notice that again I have a space. 146 "Crystal Rodriguez" (1791413504) 00:39:20.580 --> 00:39:35.940 And so I've got the language of cataloging, and then I have the language of the book is English, and then I also have added material books, and I want to look for year of 2020. 147 "Crystal Rodriguez" (1791413504) 00:39:35.940 --> 00:39:51.030 To to now. So I can add one or multiple qualifiers there. And so now that I've added that I'm just going to click the add button and we'll see what that does. So now note that it created that search string for me. 148 "Crystal Rodriguez" (1791413504) 00:39:51.030 --> 00:40:09.300 With the title word word phrase there along with all of those qualifiers. But remember that for my next searches, I'll want to uncheck that qualifier if I don't want to apply that. So I'm just gonna do that now. 149 "Crystal Rodriguez" (1791413504) 00:40:09.300 --> 00:40:25.620 And then we can click save, and close. So we've added our search keys. The next step is to process that batch. So we're going to go to batch and then choose process batch. 150 "Crystal Rodriguez" (1791413504) 00:40:25.620 --> 00:40:44.310 We need to select which local file we want our processing to go to, so I'm going to choose the test local as my path, and then we choose what process we want to complete. I'm going to choose online searches. 151 "Crystal Rodriguez" (1791413504) 00:40:44.310 --> 00:40:59.970 And then we do have the option to say, do we want to retain the file selection, that meaning this local file selection. I typically say yes, especially if I know I'm going to be, you know, coming back tomorrow and working in the same area. 152 "Crystal Rodriguez" (1791413504) 00:40:59.970 --> 00:41:16.170 It's again it's just a little bit of a save time for you. If you don't select that, then you'll just have to choose that path every time. So I'm just gonna go ahead and click ok and we see that the batch is in process and we can see what's happening. Connexion is querying all of those. 153 "Crystal Rodriguez" (1791413504) 00:41:16.170 --> 00:41:34.230 Search keys, alright? Now, a note there, if you're logged in and you start to process this batch, Connexion's actually gonna log you off because this is an offline process. And then as we see, once that's completed. 154 "Crystal Rodriguez" (1791413504) 00:41:34.230 --> 00:41:51.780 We do see our processing report. It's displaying automatically because I made that choice in the configurations and but if it didn't display, I could view that, I believe it's under. Yeah, if I go to batch, I can choose view reports. 155 "Crystal Rodriguez" (1791413504) 00:41:51.780 --> 00:42:09.840 And then I can choose biblographic search report. Note that this is just going to show show me the most recent report. Okay, so now looking at this report, we see a few things. One, we see that I did have a typing error, so NO records were found for that. 156 "Crystal Rodriguez" (1791413504) 00:42:09.840 --> 00:42:26.670 Item considering that it's not tied properly. In a moment I'll talk about how to fix that. We got too many records because our options are set to only download 50, so this search of lepard Gecko has a title, whole phrase search. 157 "Crystal Rodriguez" (1791413504) 00:42:26.670 --> 00:42:44.580 Produced 54 records, so we didn't get any results based on our settings. But then we see all of our successful searches, and we can see which say file number these were added to, as well and how many records were found et cetera. You can print this report. 158 "Crystal Rodriguez" (1791413504) 00:42:44.580 --> 00:43:03.810 I'm trying to remember where you do that. I think it's just Yes, you can go to file and then print and then that will print that report. Okay, and for the question that was asked about. 159 "Crystal Rodriguez" (1791413504) 00:43:03.810 --> 00:43:21.750 Record manager Mallory just added that answer into the chat for anyone that wants to review that. Thank you Mallory for that. Okay, so I'm going to go ahead and close out of this report. 160 "Crystal Rodriguez" (1791413504) 00:43:25.320 --> 00:43:43.410 And then as we noted, there were some errors, so how do we correct those? Again, we're gonna go to batch, enter bibliographics search keys, and we see that the item that had too many records is retained for me here. 161 "Crystal Rodriguez" (1791413504) 00:43:43.410 --> 00:43:59.940 My error search should have been retained. I It didn't retain because of one of my settings, so I'm actually just gonna go ahead and retype that in so that we can see that error. Just a moment to grab that. 162 "Crystal Rodriguez" (1791413504) 00:44:07.950 --> 00:44:24.840 And let's just pretend that that we're still there mistyped. So what we would do is we would select the error, the typo here, and we can double click it to have it show up in the query area again. 163 "Crystal Rodriguez" (1791413504) 00:44:24.840 --> 00:44:44.840 And then we correct our typing, and then we don't want to add that we want to replace that. And then once we click replace, we see that the spelling is replaced there. And then for the leopard gecko, because we got more than 50 results, this is where we can. 164 "Crystal Rodriguez" (1791413504) 00:44:44.840 --> 00:45:02.100 Apply a qualifier, e.g.. So let me go ahead and do apply default worldcat qualifier. I want to double click on leopard gecko that it's showing in my search key. And then I'm gonna click on apply and then let's put the language of cataloging as English. 165 "Crystal Rodriguez" (1791413504) 00:45:02.100 --> 00:45:22.100 And maybe we'll put space empty four books there. And then again we want to replace and I don't know why that's not working. I'm just gonna go ahead and add that. I'm not sure why it. 166 "Crystal Rodriguez" (1791413504) 00:45:22.100 --> 00:45:39.360 Didn't replace it, but we saw that replace work with the Ethiopia. So what I'll do instead is I'll go ahead and click on that incorrect, the one that gave me too many results, and this will just give me the opportunity to show you how to delete up a search key. So same thing, we're gonna click on that. 167 "Crystal Rodriguez" (1791413504) 00:45:39.360 --> 00:45:55.110 Search key that we want to delete, and here we just click delete. So now it's not showing we just have the one. So we can save and close and then we want to process our batch again. So we're gonna go batch. 168 "Crystal Rodriguez" (1791413504) 00:45:55.110 --> 00:46:12.330 Process batch. Now because we retained, we don't have to select a file. We do have to select the process and click on ok. And we see that because we had. 169 "Crystal Rodriguez" (1791413504) 00:46:12.330 --> 00:46:29.400 Less than 50, we did get results for leopard gecko, and it looks like I still typed Ethiopia incorrectly. I'm just gonna leave that as is. I was a good speller I actually got pretty far in the spelling bee, but this does not prove it. Alright. 170 "Crystal Rodriguez" (1791413504) 00:46:29.400 --> 00:46:46.410 Oh. Okay and then what we want to do now is we want to go ahead and look at our results in our local save file. So again, we can go cataloging search. 171 "Crystal Rodriguez" (1791413504) 00:46:46.410 --> 00:47:05.520 Local save file. I want to see all of my results, so I'm just gonna leave that blank, and here we see all of those results. We have our previous results that we didn't remove, but then now we can see the records that we added here, our ten wrinkle in time. There's all of our leopard gecko. 172 "Crystal Rodriguez" (1791413504) 00:47:05.520 --> 00:47:23.820 Here's our chameleon etc. Now, when we look through here, we can just say, you know what, I there's too many duplicates I don't want to look at all of these. Maybe you got more results than you expected. So, e.g., here I've got five. 173 "Crystal Rodriguez" (1791413504) 00:47:23.820 --> 00:47:39.120 Or in search of van gogh. Maybe I don't really want to look at all those. I just want to look at the one that has a call number. So to remove those like we showed a moment ago, I'm just gonna click on the 1st one and then I can use shift and either down or click. 174 "Crystal Rodriguez" (1791413504) 00:47:39.120 --> 00:47:54.750 To remove those that are close to each other and take one of those actions to delete the records. I say yes, and now those are gone. Again, same thing I can remove records that are not near each other, so I can choose 31. 175 "Crystal Rodriguez" (1791413504) 00:47:54.750 --> 00:48:12.840 Use control choose 33, take my action to delete the record, say yes, and now those records are gone. And just like when we're working with online cataloging, we can see some information like we can see if the item is held by as long as we have that. 176 "Crystal Rodriguez" (1791413504) 00:48:12.840 --> 00:48:30.720 Listed, we can see if it's held by our library, we can see call number et cetera, if it's listed in there. And this is where looking at that list settings is helpful as well. And we can again search, so I'm going to go ahead and search this local state file. 177 "Crystal Rodriguez" (1791413504) 00:48:30.720 --> 00:48:50.720 And I want to look for a specific save file number. So let's say just maybe I want to look at 13. I'm gonna enter that in, say save file, and now I have that record and I can make some edits as I need to. Let's say my library wants to add an additional call number. I can do that. 178 "Crystal Rodriguez" (1791413504) 00:48:50.720 --> 00:48:54.000 Here, just like I showed earlier. 179 "Crystal Rodriguez" (1791413504) 00:48:54.000 --> 00:49:10.950 And then once I've made my edits, I can save again so that my next action can be taken or if you want to, you can actually just delete that if you don't need it, et cetera. Alright, I'm gonna go ahead and close out of that. 180 "Crystal Rodriguez" (1791413504) 00:49:14.460 --> 00:49:34.460 And then let me go ahead and open up another record out of my local safe file, so I'm going to go to that cataloging search local safe file, and I'm going to add an OCLC number here, change my. 181 "Crystal Rodriguez" (1791413504) 00:49:34.460 --> 00:49:41.400 Drop down to OCLC control number and click ok. And again, I could search by title, author, et cetera. 182 "Crystal Rodriguez" (1791413504) 00:49:41.400 --> 00:49:56.400 So here's that the northern lights record, and let's say, as I said, I can add a note here. So let's say I want to go ahead and add a title from cover note I'm just gonna go into the 500. 183 "Crystal Rodriguez" (1791413504) 00:49:56.400 --> 00:50:16.320 Field, click enter, add another 500, add title from cover, and then I can just click save. I can use my toolbar or my keystrokes I'm just gonna go ahead and say action save record to local file. 184 "Crystal Rodriguez" (1791413504) 00:50:16.320 --> 00:50:34.470 And it resaves that record with my edit. So now if I brought that record up again, I would should see my edit there and I'm gonna show you that now. And I see my edit. And I see the little triangle that indicates that that was edited. 185 "Crystal Rodriguez" (1791413504) 00:50:36.750 --> 00:50:56.220 Okay, so in addition addition to doing batch searching, you may also need to take action on your records. So this can be performed with that record open as I showed earlier, so let's go ahead and actually look at that. So if I open up my search box. 186 "Crystal Rodriguez" (1791413504) 00:50:56.220 --> 00:51:12.060 And this time I'm going to search for a title and change my dropdown to title and click ok. And here I get the record, so I can go ahead and choose. 187 "Crystal Rodriguez" (1791413504) 00:51:12.060 --> 00:51:29.010 Export here. So I'm going to click on, actually 1st I want to add my holdings cause I see that my old holdings are not on this record yet. So I can either use the F8 key, use my toolbar or I can choose the action menu. 188 "Crystal Rodriguez" (1791413504) 00:51:29.010 --> 00:51:46.080 And choose holdings and then update holdings. So I'm going to go ahead and do that on this record and I want to point out that what we see when we look at our status bar, we see R which indicates ready. Because we're working offline, when we take actions. 189 "Crystal Rodriguez" (1791413504) 00:51:46.080 --> 00:52:03.420 It won't actually take place until we process the batch. So this is just sort of setting it up to process that batch. And we can do the same action from the list. So this time I'm gonna use F3 to open up my box. I want to leave. 190 "Crystal Rodriguez" (1791413504) 00:52:03.420 --> 00:52:23.420 My search box empty cause I want to see everything and hit enter. And let's say that I want to add my holdings to a couple different titles. Same thing if they're next to each other, we can use shift. If they're separate, we can use the control. So I'm gonna choose number 23, choose control to choose number 34 e.g.. 191 "Crystal Rodriguez" (1791413504) 00:52:23.420 --> 00:52:40.590 All here. And then I want to say to action holdings, update holdings, and here on our list we see that under update holdings we see are for ready. And again, that's just indicating that it is. 192 "Crystal Rodriguez" (1791413504) 00:52:40.590 --> 00:52:56.280 Ready to go. Once we have a few of those, we can sort by that as well. So if we just click on update twice, it'll bring those Rs all the way up to the top, so that we can see what records we have set. 193 "Crystal Rodriguez" (1791413504) 00:52:56.280 --> 00:53:13.080 For an action. Now let's assume that you realize that you've incorrectly marked one of these titles for an update action. You really don't want to update it yet. You can do that. You can correct that. Let's go ahead and click on the record to open it. 194 "Crystal Rodriguez" (1791413504) 00:53:13.080 --> 00:53:29.640 And then we want to go to action, and we're gonna choose set status, and here we can add a status, my status if we want to, but what we really want to do is we wanna say we're gonna remove the ready status for batch. 195 "Crystal Rodriguez" (1791413504) 00:53:29.640 --> 00:53:46.950 So, I'm sorry for update holdings, so I'm gonna click there and then I'm gonna click ok. And if we close out of this record, we now see that the R under ready went away. 196 "Crystal Rodriguez" (1791413504) 00:53:46.950 --> 00:54:02.940 So that's a good step to know if you accidentally choose that option or you realize that wait, NO, that's not the right record. And all of these can be performed again using that shift plus if you're looking in sequence or using control. 197 "Crystal Rodriguez" (1791413504) 00:54:02.940 --> 00:54:22.940 Plus in clicking if you're separate. Okay, and now that we have a couple of statuses chosen, we can search by status as well. So again, I'm gonna open up the cataloging search local save file. 198 "Crystal Rodriguez" (1791413504) 00:54:22.940 --> 00:54:38.790 And this time, if we notice a little further down, we see options for workflow status, action status, sort status. There's a dropdown there, so I can change that 1st one to action status, and then I choose what. 199 "Crystal Rodriguez" (1791413504) 00:54:38.790 --> 00:54:57.390 Status I want to look at. So I want to look at update holdings ready because that's what I have these statuses set to, and then I can click on ok and note that I only see those two records that have that status of ready. 200 "Crystal Rodriguez" (1791413504) 00:54:57.390 --> 00:55:15.810 And then now that we are ready to proceed with our batch, again, we want to go to batch, process batch, we choose our local file, and this time we're going to choose online record actions. So we want Connexion to add those holdings. 201 "Crystal Rodriguez" (1791413504) 00:55:15.810 --> 00:55:31.620 So then we click ok, Connexion begins the process and we get a notice letting us know that both of those records now have holdings added. If we X out of that and go back to our local save file. 202 "Crystal Rodriguez" (1791413504) 00:55:31.620 --> 00:55:49.080 We now see that the update status changed to C for complete. And again, I can double click to get those to the top there alright and then now that I'm. 203 "Crystal Rodriguez" (1791413504) 00:55:49.080 --> 00:56:06.750 Well, before I delete these, now I want to go ahead and export these records. So these two records that I've already added holdings to, I want to click on both of those, so I'm gonna use click on the 1st one and then use shift, and I'm going to choose action. 204 "Crystal Rodriguez" (1791413504) 00:56:06.750 --> 00:56:25.020 Export I can use one of those other options as well. And again, we note that export now shows as R for ready. And then we would go again to batch, process batch. This time we're going to choose exports. We already have our local files selected. 205 "Crystal Rodriguez" (1791413504) 00:56:25.020 --> 00:56:45.020 So we're gonna choose exports, click ok, we get a notice letting us know that those were exported, we can print that or close that. And then if we go look at our local save file, we now see those Cs for export. I have another one that was already previously export. 206 "Crystal Rodriguez" (1791413504) 00:56:45.020 --> 00:56:49.950 Recorded. That's why that's showing there. 207 "Crystal Rodriguez" (1791413504) 00:56:49.950 --> 00:57:09.950 And now that we've completed these tasks, we can decide if we want to remove these from our local save file. So we can go ahead and choose to highlight all of those, choose action, choose delete record. I'm actually not gonna do that because after this session I want to remove my holdings. Actually I. 208 "Crystal Rodriguez" (1791413504) 00:57:09.950 --> 00:57:28.590 You can just do that now and show you how that works. So batch, see 1st we need to, now that those holdings are showing on these two, action holdings, now I see the option for delete holdings. So you can see that that's another action you can do in batch. 209 "Crystal Rodriguez" (1791413504) 00:57:28.590 --> 00:57:45.510 So then I'm going to again choose batch, process batch, and I'm going to say online record actions, click ok, and now both of those items show as delete holdings. 210 "Crystal Rodriguez" (1791413504) 00:57:45.510 --> 00:58:04.470 And then I can remove them from my local save file. I personally went wanted to wait until I had those delete holdings removed. So again, I can highlight both of those, choose action, delete record, click yes, and now those are gone from my local save file. 211 "Crystal Rodriguez" (1791413504) 00:58:04.470 --> 00:58:23.580 Okay, alright, not seeing any questions right now, but I'm, if you have any, I I think I got to all of the ones that have been asked so far. 212 "Crystal Rodriguez" (1791413504) 00:58:23.580 --> 00:58:39.510 Now, if the only task that you have is to manage holdings and you have a list of OCLC numbers, you can do so with batch and the option of holdings by OCLC number. 213 "Crystal Rodriguez" (1791413504) 00:58:39.510 --> 00:58:57.450 You can manually enter OCLC numbers or you can start by creating a text file of OCLC numbers with each number on a separate file. So I can show you that I have done that. Let me grab that file here. 214 "Crystal Rodriguez" (1791413504) 00:58:57.450 --> 00:59:12.930 And you create this file in the same manner that we created that batch search file, so you can add those to notepad. In this case, you do not need to add any type of index. You can just add the numbers and you want to go ahead and add those. 215 "Crystal Rodriguez" (1791413504) 00:59:12.930 --> 00:59:28.590 Each on a separate line. If you were to add some sort of preceding number or an asterisk or anything, it would be ignored. So, again, I just saved this as a text file and saved on my local computer. 216 "Crystal Rodriguez" (1791413504) 00:59:28.590 --> 00:59:47.130 So again, this is really helpful if you have a long list of records that you need to either add holdings or delete holdings. So this, this is really good if you've, e.g., have a weeding process that you recently took place. So for that, we're going to go again to batch. 217 "Crystal Rodriguez" (1791413504) 00:59:47.130 --> 01:00:05.190 But this time we're choosing holdings by OCLC number, and I'm going to browse to find my file that I just created. I've already added it, but just for your benefit, I click on browse and then I can use my Explorer to go around to where that is. 218 "Crystal Rodriguez" (1791413504) 01:00:05.190 --> 01:00:22.710 And here's my file that's OCLC numbers. Click that, click open, and then we're going to click import. Again, I'm asked if I want to delete it. I usually say NO because I reuse this. You might be able to say yes because you don't need it again. 219 "Crystal Rodriguez" (1791413504) 01:00:22.710 --> 01:00:39.810 And then we have the options of either update holdings, produce and update holdings or delete holdings. A little note here, you can ignore produce and update holdings. That's sort of a legacy for when we used to produce cards. It will do the same thing as update holdings. 220 "Crystal Rodriguez" (1791413504) 01:00:39.810 --> 01:00:58.170 So for my case, I want to go ahead and choose the action of update holdings, and then there's the option of set holdings if already held. You might think, well, why would I need that? But if you're working with a really long list, you may not know that you already have holdings on that record. 221 "Crystal Rodriguez" (1791413504) 01:00:58.170 --> 01:01:14.970 So you can choose that if you want to go ahead and have that holding set. If you don't choose that, you'll get an error telling you that that holdings were not set on that item because you already had holdings. So I'm gonna go ahead and click that and I believe it actually tells you either way. We'll see in a moment. 222 "Crystal Rodriguez" (1791413504) 01:01:14.970 --> 01:01:32.940 I'm going to click ok and again I get a report letting me know what took place with all of those records and it's going, in this case, we're just removing or I'm sorry, adding holdings in this case. So we get a notice letting us know that holdings were updated. 223 "Crystal Rodriguez" (1791413504) 01:01:32.940 --> 01:01:49.920 Now I can take the same action to remove holdings. So I'm going to choose batch holdings by OCLC number. I've already chosen my location. Again, I want to import that file. I'm going to say NO, and this time I want to delete holdings. 224 "Crystal Rodriguez" (1791413504) 01:01:49.920 --> 01:02:09.920 And click ok. Now this is an important note here, so we get in our report we see the 1st four items de holdings were deleted, but 2nd items because under my batch settings, I did not select to delete records that have local holding records. 225 "Crystal Rodriguez" (1791413504) 01:02:09.920 --> 01:02:10.440 Is. 226 "Crystal Rodriguez" (1791413504) 01:02:10.440 --> 01:02:30.440 These two holdings were not deleted because my institution has one or more local holdings records linked to them. So that's why I'll go back to where that is under tools, options batch, this option of delete attached lhrs and local bib data when deleting holdings. If I had had that selected. 227 "Crystal Rodriguez" (1791413504) 01:02:30.440 --> 01:02:46.290 Did when I performed that batch, these two would have deleted holdings as well. And just to note here, this procedure is appropriate for when you have up to NO more than 2,500 OCLC numbers at a time. 228 "Crystal Rodriguez" (1791413504) 01:02:46.290 --> 01:03:02.970 And you can find information for this in the learner guide. And I do apologize, I forgot to add that at the beginning of the class to the chat. So let me go grab that real quick for you all. I typically add that at the beginning and I completely missed that step. I apologize for that. 229 "Crystal Rodriguez" (1791413504) 01:03:06.390 --> 01:03:23.790 And I'll explain in a moment what that is too. For those of you who have been to previous classes, you're familiar with it. Just one moment. Alright, so I'm adding that link into the chat for you. 230 "Crystal Rodriguez" (1791413504) 01:03:23.790 --> 01:03:40.950 And you will get this in a follow up message as well, but what that link is, this is our learner guide that's an accompanyment to this class. I have it up here on the screen as well, and it just sort of reviews what we've talked about today. And at the end there's some additional links for you, additional help. 231 "Crystal Rodriguez" (1791413504) 01:03:40.950 --> 01:03:59.160 And we do these for each of our courses, and they are available on our help support site. So let me go ahead and go back over here ok. 232 "Crystal Rodriguez" (1791413504) 01:03:59.160 --> 01:04:17.910 So not seeing any questions from you all, I'm going to go ahead and ask you guys some questions. So let me start the Slido for you. 233 "Crystal Rodriguez" (1791413504) 01:04:17.910 --> 01:04:36.900 Sorry, it's it I'm trying to figure out where to launch that ok I clicked the wrong button. So what you should, I apologize I opened up the wrong one. Let me go back one. 234 "Crystal Rodriguez" (1791413504) 01:04:36.900 --> 01:04:53.730 Okay, so which type of safe file is required for batch processing? You should be seeing the Slido for this. If you are not, you can go ahead and just add your answer into the chat as well. So is it online save file or local save file? 235 "Crystal Rodriguez" (1791413504) 01:05:02.490 --> 01:05:22.490 Yeah, it looks like the Slido's not working for me. I apologize for that. I did check that this morning I see results coming in. I'll hold a moment to see. 236 "Crystal Rodriguez" (1791413504) 01:05:22.490 --> 01:05:30.360 Okay, I see most people are answering B. 237 "Crystal Rodriguez" (1791413504) 01:05:30.360 --> 01:05:48.450 And yes, that is correct. So for the batch processing also known as offline processing, you have to use the local save file in Connexion. Alright, let's see if this next Slido works. If not again we can just use the. 238 "Crystal Rodriguez" (1791413504) 01:05:48.450 --> 01:06:05.400 Chat. So which of the following is true about local save files? You can create multiple local save files. You can change the list settings and sort local save file results. Local save files are required for batch processing. 239 "Crystal Rodriguez" (1791413504) 01:06:05.400 --> 01:06:22.830 Or all of the above. You can just treat that as A B C D if you're having to use the chat and I'll just give you all a moment for that one. 240 "Crystal Rodriguez" (1791413504) 01:06:32.640 --> 01:06:50.340 And looks like the poll is working this time and looks like everybody got that right? Yes, the answer is all of above. So there's the option of creating multiple local save files. 241 "Crystal Rodriguez" (1791413504) 01:06:50.340 --> 01:07:08.400 Options for changing the list settings and sorting your local safe file results. And then again local save files are required for batch processing. And then I have one more question for you guys. 242 "Crystal Rodriguez" (1791413504) 01:07:08.400 --> 01:07:27.000 So which is a list of actions that can be performed in batch? Is it search, edit, update holdings, delete holdings, and export? Is it search, derive new records, and add file fields or is it search delete holdings and create new records? 243 "Crystal Rodriguez" (1791413504) 01:07:27.000 --> 01:07:47.000 The answer is going to be the one that you can, that all of those things can be done in batch. I see some answers. 244 "Crystal Rodriguez" (1791413504) 01:07:47.000 --> 01:07:56.760 It's coming through here. 245 "Crystal Rodriguez" (1791413504) 01:07:56.760 --> 01:08:13.410 Alright, and it looks like everyone got that correct. It is A You can search, edit, update holdings, delete holdings, and export in batch. And there's that nice feature that we just showed too of the. 246 "Crystal Rodriguez" (1791413504) 01:08:13.410 --> 01:08:30.120 Batch holdings by OCLC number. All right. Now, I don't have any more questions for you guys, but please feel free to add any additional questions here in our chat. We do have. 247 "Crystal Rodriguez" (1791413504) 01:08:30.120 --> 01:08:46.140 A bit of time left over, so if there's anything that you needed me to review again, I'm happy to go back and do that so I'm gonna just pause for a moment while I see if anything comes in. 248 "Crystal Rodriguez" (1791413504) 01:08:52.440 --> 01:09:10.530 Okay. While I wait to see if you do have anything you want me to look at or any questions right now, after the session, and really at any point, if any questions come up, you can go to our help site at help.OCLC.org. 249 "Crystal Rodriguez" (1791413504) 01:09:10.530 --> 01:09:30.530 There you would see contact OCLC support and you can choose support in your region. You also can just go to the short link here of oC.LC/support. You know since we have a bit of time, let me actually go to that site for you and show you what that will look like. 250 "Crystal Rodriguez" (1791413504) 01:09:30.530 --> 01:09:50.490 I'll show you where specifically you can find Connexion items. So you should be seeing my Chrome here, so the website is help.OCLC.org. Here is where that contact us is. 251 "Crystal Rodriguez" (1791413504) 01:09:50.490 --> 01:10:06.420 And there you would see the option to contact information for your region or you can just create a con a ticket right there. I want to jump back to show you Connexion documentation. You can find that by going to metadata services. 252 "Crystal Rodriguez" (1791413504) 01:10:06.420 --> 01:10:22.260 And clicking on Connexion, and there you'll see all the documentation. 1st thing you see is how to download Connexion if you don't have that. And then I'm gonna jump back again. We had, you can use these breadcrumbs at the beginning so I can just go back to home. 253 "Crystal Rodriguez" (1791413504) 01:10:22.260 --> 01:10:41.940 And then under Librarians toolbox, there you see a section for training. If you click on OCLC training, you can find all of our upcoming training, our self paced training, which is going to be the recordings and some short videos. And we do have an FAQ. 254 "Crystal Rodriguez" (1791413504) 01:10:41.940 --> 01:11:01.940 And I want to point this out because this was asked in a last, our last class. These Connexion classes do not cover specifically cataloging steps, but we do have a resource document here that I've, that, I will add into the chat for you, that you can also find here on our help site. 255 "Crystal Rodriguez" (1791413504) 01:11:01.940 --> 01:11:07.230 Like which has some very good resources for you for cataloging information. 256 "Crystal Rodriguez" (1791413504) 01:11:07.230 --> 01:11:26.460 So I'm gonna add that into the chat too. Okay, let me go back over here that was just a quick tutorial on how to use that help site if you're not familiar with it. 257 "Crystal Rodriguez" (1791413504) 01:11:26.460 --> 01:11:43.740 And then just a couple of notes. At the end of this session, once we end the session, you will be automatically taken to a link to an evaluation for this class. We do appreciate you filling that out and giving us feedback. We use that to improve on our classes. 258 "Crystal Rodriguez" (1791413504) 01:11:43.740 --> 01:12:01.830 That is actually how we ended up with that document I just showed based on some feedback. So we do really take that seriously, and we do appreciate that feedback. We do have two more sessions for Connexion next month. The next one is automation and customization that's going to go over things like. 259 "Crystal Rodriguez" (1791413504) 01:12:01.830 --> 01:12:18.390 Macros setting up your toolbar using text strings etc. And then the last class is on authority control. To register for those, you can either go to our support site that I showed you with the training link there. 260 "Crystal Rodriguez" (1791413504) 01:12:18.390 --> 01:12:38.390 Or if you're familiar using our community center, you can register for these classes on community center. And to that note, if you registered for this class on the community center, you should receive a badge within a few weeks. If you do not receive that badge or you did not register the. 261 "Crystal Rodriguez" (1791413504) 01:12:38.390 --> 01:12:40.380 There but you want a badge. 262 "Crystal Rodriguez" (1791413504) 01:12:40.380 --> 01:13:00.380 You can fill out the request at the link that I'm adding into the chat right now. And then if you have any questions about this training, you can always contact us at training@OCLC.org And with that, I'm just gonna pause to see if there's any. 263 "Crystal Rodriguez" (1791413504) 01:13:00.380 --> 01:13:19.620 Last minute questions, otherwise, I'll give everyone back some time in their Day, you're welcome seeing some great thank yous. All right. 264 "Crystal Rodriguez" (1791413504) 01:13:19.620 --> 01:13:36.984 I'm going to go ahead at this point, it looks like we don't have any questions coming in, so I'm just gonna stop the recording, but i'll hang out for a bit. And that recording will be made available to you all here typically by the end of today, but for sure by tomorrow.
